We're searching for an experienced Administrative Assistant to support a busy IT department with a blend of executive assistance and hands-on financial coordination. This role centers around managing Concur invoice processing, credit card reconciliation, and budget tracking in Excel, while also handling scheduling, travel planning, and administrative communication across the department. This is a great opportunity for someone who enjoys working across teams, juggling multiple priorities, and taking ownership of key operational processes.

Responsibilities:

  • Provide high-level administrative support to the Head of IT and four directors
  • Process invoices, corporate credit card statements, and expense reports
  • Manage department budgets and track expenses in Excel and Concur
  • Coordinate meetings, schedule travel, and assist with calendar management
  • Collaborate closely with other executive assistants and interface with company leadership
  • Assist with travel logistics and planning
  • Support ad hoc projects within the IT department and liaise with accounting
  • Maintain a high level of confidentiality and professionalism
Requirements:
  • 2+ years of administrative experience;experience supporting executives preferred
  • Strong communication, organizational, and multitasking skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint)
  • Experience with Concur or similar expense systems preferred
  • Ability to handle confidential information and shift priorities in a fast-paced environment
  • Collaborative attitude with a proactive and problem-solving mindset
  • Bachelor's degree preferred
